Our Commitment to Data Privacy and Security

At Accrington & Rossendale College, we are dedicated to upholding the highest standards of integrity and transparency in how we collect, use, and manage your personal information. Our approach ensures your data is protected, handled with the utmost care, and used to achieve positive outcomes for our college community.

Collecting and Using Your Information

We may ask you to share personal details such as your name and email address when you become a student, engage with our services, or participate as a client. Our practice is to clearly explain why information is being collected, how it will be used, and who it may be shared with. If new uses for your data arise, your consent will be requested, except where legislation allows otherwise. Your information will never be used for marketing without your explicit consent.

Sensitive information is treated with even greater confidentiality. This data is never disclosed outside the College without your consent unless the law requires or permits it. We comply fully with the Data Protection Act 2018 and the General Data Protection Regulation (GDPR), maintaining secure data storage and removing your details when no longer necessary.

Every time you provide information to us, it is managed in line with this policy, relevant legislation, and our official Data Protection Registration (Z6655979). We continue to benchmark our practices against current best standards. You can learn more about your rights as an individual on the Information Commissioner’s website.

How We Use Information at Enrolment

Your data is vital for the effective administration of education, training, guidance, employment services, well-being support, and research. Non-sensitive information may be shared with partners such as Local Authorities, always for compatible and legitimate purposes. Sensitive data (such as details relating to disability or ethnicity) is used to support equality of opportunity, student welfare, and risk management, and, when shared, only after seeking your direct consent unless the law dictates otherwise. This data may also be aggregated anonymously for statistical evaluation.

Working with Government Departments

To fulfil essential funding and statutory requirements, Nelson & Colne College shares relevant information with the Department for Education. This enables bodies to carry out their functions, meet legal responsibilities, and manage records such as unique learner numbers and Personal Learning Records.

Data may be further shared for administrative purposes and to enhance services, careers guidance, and research into education and well-being. All data sharing is undertaken in accordance with the law.

You may be contacted post-study to help us understand your progression into employment or further education and may also be approached by government agencies to participate in evaluations.

Comprehensive details, including regular data sharing partners, can be reviewed at the Department for Education official privacy notice.

Legal Basis for Data Collection

Much of the information collected is necessary for your enrolment, course management, and legal compliance. Participation in providing emergency and parent/carer contact details is based on your consent, and this can be withdrawn at any time without impacting your status as a student.

Engaging with Parents, Carers, and Guardians

Students aged 16 and over make their own decisions about how their personal information is used. For students with particular needs or circumstances, exceptions may apply. We recognise the role parents, carers, or guardians play in a learner’s success. Therefore, parent or carer details are recorded to enable effective communication about progress and support.

Information Sharing with Local Authorities

Local Authorities are tasked by the Education and Skills Act 2008 to support participation and success in learning for young people. Accrington & Rossendale College shares essential details about relevant students with their Local Authority to help fulfil these statutory duties. If you wish to review or opt out from the sharing of your details for this purpose, please contact Lancashire County Council at freedomofinformation@lancashire.gov.uk.
